Conference Registration Terms and Conditions
‘Transforming AEC Design Workflows with AI.’
One-Day Conference Registration, Payment and Attendance Terms
By registering for ‘Transforming AEC Design Workflows with AI.’ ("the Conference"), attendees agree to the following Terms and Conditions.
1. Conference Overview
The Conference is a one-day professional event designed to facilitate networking, knowledge sharing, professional development, and collaboration among members of the design, engineering, construction, and built-environment community.
Date: 29th July 2026
Venue: Lecture Theatre LT-50, (UTECH) University of Technology, Kingston, Jamaica. WI
Organizer: Novgar Services Limited
2. Registration Fees
The following registration fees shall apply:
Early Bird Registration
- Fee: J$20,000.00 per person
- Applicable only to registrations completed and paid in full on or before 20th July 2026.
Standard Registration
- Fee: J$24,000.00 per person
- Applicable to registrations received after the Early Bird Deadline and up to the Conference date, subject to availability.
Registration is confirmed only upon receipt of full payment.
3. Payment Terms
- All conference fees must be paid in full prior to attendance.
- Registration spaces will be allocated on a first-paid, first-confirmed basis.
- Payment may be made via bank transfer, online payment, cheque, or any other method approved by the Organizer.
- The Organizer reserves the right to deny entry to any individual whose registration fees remain outstanding.
4. Cancellation and Refund Policy
Participant Cancellation
Written cancellation requests must be submitted to the Organizer.
- Cancellations received more than fourteen (14) days prior to the Conference date shall be eligible for a refund of up to 75% of the registration fee paid.
- Cancellations received within fourteen (14) days of the Conference date shall not be eligible for a refund.
- Substitutions of attendees from the same organization may be accepted at no additional charge, subject to written notification.
Organizer Cancellation
If the Conference is cancelled by the Organizer, registered participants shall be entitled to:
- A full refund of fees paid; or
- A credit toward a future event organized by the Organizer.
The Organizer shall not be liable for any travel, accommodation, or other expenses incurred by attendees.
5. Event Modifications
The Organizer reserves the right to change the Conference date, venue, speakers, program content, or schedule where necessary.
Reasonable efforts will be made to notify registered attendees of any significant changes.
6. Photography, Videography and Media Consent
By attending the Conference, participants acknowledge and agree that photographs, audio recordings, and video recordings may be taken during the event.
The Organizer may use such materials for:
- Marketing and promotional activities;
- Social media publications;
- Website content;
- Educational and archival purposes.
Participants who do not wish to be photographed or recorded must notify the Organizer in writing prior to the event.
7. Intellectual Property
All presentations, materials, publications, recordings, and conference content remain the intellectual property of their respective owners, speakers, sponsors, or the Organizer.
Attendees shall not reproduce, distribute, publish, sell, record, or commercially exploit any conference materials without prior written permission from the copyright holder.
8. Code of Conduct
All participants must behave professionally and respectfully toward speakers, exhibitors, sponsors, organizers, and fellow attendees.
The Organizer reserves the right to remove any participant whose conduct is deemed disruptive, offensive, unsafe, or contrary to the objectives of the Conference, without refund.
9. Limitation of Liability
The Organizer shall not be responsible for:
- Personal injury;
- Loss, theft, or damage to personal property;
- Travel disruptions;
- Indirect or consequential losses arising from participation in the Conference.
Attendance is at the participant's own risk.
10. Privacy
Personal information collected during registration shall be used solely for:
- Conference administration;
- Event communications;
- Future professional development and networking opportunities related to the Organizer's activities.
Information will not be shared with third parties except where required by law or necessary for event administration.
11. Acceptance of Terms
Submission of a registration form and payment of the applicable registration fee constitutes acceptance of these Terms and Conditions.
